Privacy notice for business outreach

GLINT APEX LTD ("we") sometimes contacts people at game studios in the United Kingdom and other countries outside the EU and EEA by email about our business services, such as game localization (LocaGlint). This notice explains what personal data we use for that, why, and what your rights are. It supplements our general Privacy Policy, which covers our websites.

Who this notice applies to

This notice applies to business contacts at game studios whose contact details we have found in public business sources. By default, we do not send outreach emails to people in the EU or EEA. We also do not, by default, contact people who use a personal address from a free email provider (such as Gmail) unless we have evidence that they act for a company.

What data we hold and where it comes from

  • Your name and job title, if published.
  • Your business email address.
  • Information about your studio and its games: company name, website, country, store pages, and other public product information (for example, supported languages).
  • The page where we found your contact details, and when we found it.
  • Our email correspondence with you, and internal notes about that business correspondence.

We collect this information from sources you or your studio have made public for business contact, such as app store developer pages (for example, the "App support" email on Google Play), your studio website, and developer pages on platforms such as Steam or itch.io. We do not buy contact lists. We do not use tracking pixels or link tracking in our emails.

Why we use it and our legal basis

We use this data to send you a small number of relevant business emails about our services, and to follow up on any reply. Our legal basis is our legitimate interests (UK GDPR Article 6(1)(f)) in promoting our services to businesses that may benefit from them. We have assessed these interests against your rights and keep sending volumes low, personalised and relevant. You can object at any time (see below).

Who we share it with

We do not sell your data. We use service providers who process it on our behalf:

  • Email hosting for our outreach mailboxes: Lark Mail, Japan.
  • Email address verification: Reoon Email Verifier (see the provider's privacy policy for its processing locations).
  • AI assistant tools that help us research and draft emails: Anthropic, United States.
  • Server hosting: Contabo GmbH, Germany. Backups: Amazon Web Services S3, United States.

Where personal data is transferred outside the UK, we rely on UK adequacy regulations (for the EEA, including Germany, and for Japan), the UK Extension to the EU–US Data Privacy Framework where the recipient is certified, or otherwise the UK International Data Transfer Agreement / Addendum, as set out in each provider's data processing terms.

How long we keep it

If you do not reply and are not in an active conversation with us, we anonymise your data 12 months after our last email exchange with you. If you ask us not to contact you again, we keep only your email address, the reason and the date on a do-not-contact list, so that we never contact you again.

Your rights

You have the right to:

  • object to us using your data for marketing. Just reply "no" to any of our emails, or write to [email protected]. We will stop immediately;
  • access the data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict how we use your data.

To use these rights, reply to our email or write to [email protected]. We will respond within one month. We may ask you to confirm the request from the email address we contacted.

You also have the right to complain to the UK Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.

Automated decisions

We do not make decisions about you based solely on automated processing.

We may update this notice from time to time. The date at the top shows when it last changed.
